Your Wedding Atlas respects your privacy. This Privacy Policy explains how Your Wedding Atlas (“we,” “us,” or “our”), collects, uses, discloses, retains, and protects personal information when you use the Your Wedding Atlas Platform.

This Policy applies to our websites, applications, planning tools, listings, messages, support services, and other Platform features. It does not govern the independent privacy practices of Vendors, payment providers, or other third-party services that may be linked from or integrated with the Platform.

1. Scope and Who We Are

1.1 Who we are

This Privacy Policy describes how Your Wedding Atlas (“Your Wedding Atlas,” “we,” “us,” or “our”), collects, uses, discloses, retains, and protects personal information.

We are responsible for personal information under our control. If you have questions about this Privacy Policy or want to make a privacy request, contact us through the Help Centre.

1.2 What this Privacy Policy covers

This Privacy Policy applies when you access or use Your Wedding Atlas websites, applications, Vendor Listings, planning tools, messages, support services, and other offerings that link to or reference this Privacy Policy (collectively, the “Platform”).

It applies whether you use the Platform as a visitor, Couple, Vendor, workspace member, guest-list collaborator, photo-sharing participant, support requester, or another type of user.

1.3 What this Privacy Policy does not cover

This Privacy Policy does not govern the independent privacy practices of Vendors, payment providers, social platforms, search engines, or other third parties.

For example, when you contact a Vendor through the Platform, the Vendor may collect, use, retain, or disclose your information under its own privacy practices. Similarly, when you follow an external link or use a third-party service, that third party’s terms and privacy policy apply.

2. Personal Information We Collect

We collect personal information that you provide directly, information generated through your use of the Platform, and information we receive from third parties. The information we collect depends on how you use the Platform.

2.1 Information you provide to us

2.1.1 Account, contact, and profile information

When you create or use an account, we may collect information such as your name, email address, profile image, sign-in information, and account preferences, including your preferred language, market, and currency.

2.1.2 Vendor and Listing information

If you create, manage, represent, or contribute to a Vendor Listing, we may collect information needed to create and operate the Listing. This may include your business name, contact information, service area, business address, service categories, descriptions, packages, pricing information, photos, and other content you choose to provide.

2.1.3 Communications and support information

When you send an enquiry, message, attachment, support request, feedback submission, or other communication through the Platform, we collect the information included in that communication.

2.1.4 Planning and collaboration information

When you use planning or collaboration features, we may collect information you choose to add, such as:

  • saved Vendors and saved-list names;
  • shared-list invitations and collaborator information;
  • workspace names, member invitations, roles, and planning content;
  • guest names, email addresses, RSVP status, groups, tags, notes, and companion information;
  • photos, captions, and uploader information submitted through photo-sharing features; and
  • information included in invitations, shared pages, or other collaborative features.

If you provide personal information about another person, you represent that you have permission to provide it and, where appropriate, have made this Privacy Policy available to that person.

2.2 Information collected automatically

When you access or use the Platform, we may automatically collect information about your use of it, including:

  • device, browser, operating-system, and language information;
  • IP address and general location derived from IP address;
  • pages, listings, content, and features you view or interact with;
  • referring pages, access times, error information, and security-related log data;
  • cookie, local-storage, and similar-technology information; and
  • preferences needed to remember settings such as language, market, currency, cookie choices, and display preferences.

2.3 Information we receive from third parties

We may receive personal information from third parties, including:

  • account or profile information when you choose to sign in through a third-party sign-in service;
  • subscription, invoice, transaction, and payment-status information connected with a Vendor Plan;
  • map, address, place, and location information when you use location-related Platform features;
  • information from users who invite you to a workspace, saved list, guest list, photo-sharing page, or other collaborative feature; and
  • publicly available or business information used to create, verify, improve, or maintain Vendor Listings.

3. How We Use Personal Information

We use personal information to provide, improve, protect, and support the Platform, including for the purposes below.

3.1 Provide the Platform

We use personal information to:

  • create, authenticate, and manage accounts;
  • provide Vendor discovery, Vendor Listings, favorites, saved lists, workspaces, guest lists, photo-sharing, messages, and support features;
  • facilitate enquiries and messages between Couples, Vendors, collaborators, and other intended recipients;
  • process requests, respond to communications, and provide customer support;
  • process Vendor Plan subscriptions, invoices, plan changes, cancellations, and related requests;
  • remember language, market, currency, and other Platform preferences; and
  • send service-related communications, including account, security, invitation, message, billing, and support notices.

3.2 Improve and develop the Platform

We use personal information to understand how the Platform is used, maintain performance, diagnose errors, conduct analytics, test and evaluate changes, and develop or improve Platform features and user experience.

3.3 Promote safety, security, and trust

We use personal information to detect, investigate, prevent, and address spam, fraud, abuse, security incidents, harmful conduct, and violations of our Terms, policies, or applicable law.

3.4 Communicate with you

Where permitted by applicable law, we may use your contact information to send marketing communications about Your Wedding Atlas, Vendor Plans, features, and updates that may be relevant to you.

You can opt out of marketing emails using the unsubscribe link in those emails. Opting out of marketing communications does not prevent us from sending important service-related communications.

3.5 Comply with legal obligations and protect our rights

We may use personal information to comply with applicable law, respond to lawful requests, enforce our Terms and policies, resolve disputes, and protect the rights, safety, security, and property of Your Wedding Atlas, our users, and others.

4. How We Share Personal Information

We may share personal information as described below.

4.1 With other users and the public

Information you choose to make public through a Vendor Listing, public profile, public workspace website, review, or other public Platform feature may be visible to other users and the public. Public information may also be indexed by search engines.

When you send an enquiry or message to a Vendor, we share the information included in that communication with the intended Vendor.

When you use a collaborative feature, we share relevant information with people who are authorized to access that feature. For example, a shared saved list, workspace, guest list, or photo-sharing page may be visible to its owner, members, invitees, or other authorized participants.

4.2 With service providers

We use service providers to help us operate the Platform. These providers may process personal information on our behalf to provide services such as authentication, hosting, storage, payment processing, email delivery, analytics, security, customer support, maps, location services, and content management.

We require service providers to handle personal information only for authorized purposes and subject to appropriate safeguards.

4.3 With third-party services you choose to use

The Platform may contain links to, integrations with, or tools provided by third parties. When you interact with those services, their own terms and privacy policies apply.

We are not responsible for the privacy practices of independent Vendors or third-party services.

4.4 For legal, safety, and business purposes

We may disclose personal information where reasonably necessary to:

  • comply with applicable law, legal process, or a lawful request;
  • enforce our Terms or policies;
  • protect the rights, safety, security, and property of Your Wedding Atlas, our users, or the public;
  • detect, prevent, or address fraud, security incidents, or harmful conduct; or
  • evaluate or complete a financing, acquisition, merger, reorganization, sale of assets, or similar business transaction, subject to applicable law.

4.5 With your consent or at your direction

We may share personal information when you direct us to do so or otherwise give us your consent. For example, this may occur when you choose to share a saved list, invite someone to a workspace, or use another feature designed to share information with a person you select.

5. Public Information, Listings, and User Content

5.1 Public Vendor Listings

Vendor Listings are designed to help Couples discover and evaluate wedding businesses. Information included in a public Vendor Listing may be visible to Platform users and the public.

This may include business name, public contact details, service area, location information, categories, descriptions, packages, pricing information, photos, and other content chosen for publication by the Vendor.

Public Vendor Listing information may be indexed by search engines and shared through search results, links, previews, or social-media features. A Vendor should not include personal information in a Listing unless it is appropriate for public disclosure.

5.2 Public profiles and shared content

Information you choose to publish through a public profile, public workspace website, public saved list, review, or another public Platform feature may be visible to other users and the public.

You are responsible for deciding what information to make public and for ensuring that you have the right to share it.

5.3 Private and collaborative content

Some Platform features are intended to be shared only with selected people. For example, saved lists, workspaces, guest lists, messages, and photo-sharing pages may be available only to their owner, members, invitees, or other authorized participants.

However, you should use care when sharing information with others. Once you share information with another user, that user may retain, copy, save, or further share it independently of Your Wedding Atlas.

5.4 Your responsibility for User Content

You are responsible for the personal information and other content you submit, publish, upload, or share through the Platform.

Before sharing personal information about another person, you must have the authority or permission to do so. This is especially important when adding guest-list information, inviting collaborators, uploading photos of others, or publishing business information on behalf of a Vendor.

5.5 Removal or changes to public content

You may be able to update or remove certain content through the Platform. Removing content from the Platform does not guarantee that copies previously viewed, shared, cached, indexed, or retained by others will be removed immediately or at all.

We may remove, limit, or restrict access to content where permitted or required by law, our Terms, or our policies.

6. Payments and Billing

6.1 Vendor Plans

Vendors may purchase, change, cancel, or manage paid Vendor Plans through the Platform. When you purchase or manage a Vendor Plan, we and our payment providers process information needed to administer the subscription, including plan selection, billing interval, currency, invoice information, payment status, and subscription history.

6.2 Payment information

Payment-card and other payment-method information is collected and processed by our payment providers. Your Wedding Atlas does not store full payment-card numbers or security codes.

We may receive limited information from payment providers, such as payment status, transaction identifiers, subscription status, billing currency, invoice information, and the last four digits of a payment card where available.

6.3 Billing communications

We may use your contact information to send billing-related communications, including payment confirmations, invoices, renewal notices, failed-payment notices, subscription changes, cancellations, and other account notices.

These communications are service-related. You cannot opt out of essential billing and account communications while maintaining an active Vendor Plan.

6.4 Taxes and records

We may collect, use, or retain information needed to calculate, display, document, or comply with applicable tax, accounting, financial-reporting, or legal obligations.

You remain responsible for your own tax obligations relating to your business, services, sales, and income, except where applicable law requires otherwise.

7. Cookies, Analytics, and Similar Technologies

7.1 Cookies and similar technologies

We use cookies, local storage, pixels, scripts, and similar technologies to operate, secure, remember preferences for, and understand use of the Platform.

These technologies may collect information such as browser and device information, IP address, pages viewed, referral information, settings, and interaction data.

7.2 Necessary technologies

Some cookies and similar technologies are necessary for the Platform to function. They may be used to:

  • maintain security and prevent fraud or abuse;
  • remember your sign-in session and account state;
  • save language, market, currency, and display preferences;
  • remember your cookie-consent choice; and
  • support essential Platform functionality.

You cannot disable strictly necessary technologies through our cookie controls because the Platform may not function properly without them.

7.3 Analytics and advertising technologies

Subject to your choices and applicable law, we may use analytics and advertising technologies to understand Platform traffic and performance, measure campaigns, improve content and features, and deliver or measure advertising.

Where required, we seek your consent before enabling non-essential analytics or advertising technologies. If you decline or withdraw consent, we will limit those technologies as required by applicable law.

7.4 Your choices

You can manage non-essential cookie choices through the cookie notice or controls made available through the Platform. You may also manage cookies through your browser settings.

Blocking or deleting cookies may affect some Platform functionality, including the ability to remain signed in or retain certain preferences.

8. International Processing and Service Providers

8.1 International processing

Your Wedding Atlas is operated from Ontario, Canada, but the Platform is available internationally. Your personal information may be collected, stored, accessed, processed, or transferred in Canada and in other countries where we, our users, or our service providers operate.

The privacy laws in another country may differ from the laws where you live. Courts, law-enforcement authorities, regulators, or other government authorities in those countries may be able to access personal information in accordance with applicable law.

8.2 Transfers and safeguards

When we transfer personal information across borders, we take reasonable steps to ensure that the information receives a level of protection appropriate to the circumstances and required by applicable law.

These steps may include contractual protections, organizational measures, technical safeguards, and limiting access to people or service providers who need the information to perform authorized work.

8.3 Service providers

We may use service providers located in Canada or other countries to help us operate the Platform. These providers may process personal information for functions such as hosting, storage, authentication, payment processing, email delivery, analytics, security, customer support, maps, location services, and content management.

We require service providers to process personal information only for authorized purposes and subject to appropriate safeguards.

9. Data Retention

9.1 How long we retain information

We retain personal information for as long as reasonably necessary to provide the Platform, fulfil the purposes described in this Privacy Policy, comply with legal and accounting obligations, resolve disputes, enforce our agreements, and protect the Platform and its users.

The appropriate retention period depends on the nature of the information, why it was collected, the feature involved, legal requirements, and whether the information is needed for security, fraud prevention, or dispute resolution.

9.2 Examples of retention

We may retain:

  • account information while your account remains active;
  • Vendor Listing information while the Listing remains active, published, or otherwise needed to provide Platform services;
  • messages, enquiries, attachments, workspace content, guest-list information, and other collaboration content for as long as the relevant feature, account, or shared content remains available;
  • billing, subscription, invoice, and transaction information for as long as required for accounting, tax, legal, audit, and dispute-resolution purposes;
  • security logs and technical information for a limited period needed to maintain security, prevent abuse, and investigate incidents; and
  • backup copies for a limited period after information is deleted from active systems.

9.3 Deletion requests and account closure

You may request deletion of your account or personal information as described in Section 11. Deleting an account or content may not result in immediate deletion of all related information.

For example, we may retain limited information where necessary to comply with law, maintain financial records, prevent fraud or abuse, resolve disputes, enforce our agreements, preserve another user’s lawful records, or maintain secure backup systems.

Information that has been made public, shared with another user, indexed by a search engine, or copied by another person may remain available outside our control.

10. Security

10.1 Our security measures

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information against unauthorized access, loss, misuse, alteration, disclosure, or destruction.

These measures may include access controls, authentication controls, encryption where appropriate, secure development practices, monitoring, logging, service-provider controls, and procedures for responding to security incidents.

10.2 No method of transmission or storage is completely secure

Although we work to protect personal information, no internet transmission, electronic storage system, or security measure is completely secure. We cannot guarantee the absolute security of personal information.

You are responsible for protecting your account credentials, using a strong and unique password where applicable, securing the devices you use to access the Platform, and notifying us promptly if you believe your account or personal information may have been compromised.

10.3 Security incidents

If we determine that a security incident has affected your personal information, we will take steps required by applicable law. This may include investigating the incident, taking measures to reduce harm, notifying affected individuals, and reporting the incident to relevant authorities where required.

11. Your Privacy Choices and Rights

11.1 Access and correction

Subject to applicable law, you may request access to personal information we hold about you and request correction of information that is inaccurate, incomplete, or out of date.

You can update certain account, profile, Listing, preference, and planning information directly through the Platform.

11.2 Deletion and account closure

You may request deletion of your account or personal information by contacting us using the details in Section 14.

Deletion requests are subject to applicable law and the retention needs described in Section 9. We may retain limited information where necessary for legal, accounting, security, fraud-prevention, dispute-resolution, or other legitimate purposes.

11.3 Withdrawing consent

Where we rely on your consent to collect, use, or disclose personal information, you may withdraw that consent, subject to legal or contractual restrictions and reasonable notice.

Withdrawing consent may affect your ability to use certain Platform features. For example, we may be unable to provide a feature if the information is necessary to operate it.

11.4 Marketing communications

You can opt out of marketing emails by using the unsubscribe link in those emails or by contacting us.

You will continue to receive essential service-related communications, including messages about your account, security, billing, subscriptions, invitations, support requests, and changes to the Platform.

11.5 Cookie and analytics choices

You can manage non-essential cookie, analytics, and advertising choices through the cookie controls made available on the Platform. You may also manage cookies through your browser settings.

11.6 Additional rights

Depending on where you live, you may have additional privacy rights under applicable law. These may include rights to request information about our processing of your personal information, object to certain processing, restrict certain uses, or make a complaint to a privacy regulator.

12. Children’s Privacy

The Platform is not directed to children under the age of 18, and we do not knowingly collect personal information directly from children under 18 without appropriate authorization.

If you believe that a child has provided personal information to us without appropriate authorization, contact us using the details in Section 14. We will take reasonable steps to investigate and, where appropriate, delete the information.

Parents, guardians, and other users who add information about a child to a guest list, workspace, photo-sharing page, or other collaborative feature are responsible for ensuring they have the authority to do so.

13. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes to the Platform, our privacy practices, legal requirements, or other operational reasons.

When we make changes, we will post the updated Privacy Policy on the Platform and revise the “Last Updated” date. If changes are material, we may provide additional notice, such as through the Platform, by email, or through another appropriate communication method.

Your continued use of the Platform after an updated Privacy Policy takes effect is subject to that updated Policy, to the extent permitted by applicable law.

14. Contact, Complaints, and Privacy Requests

14.1 Contact us

For questions, concerns, complaints, or requests relating to this Privacy Policy or your personal information, email us.

14.2 Privacy requests

To help us process a privacy request, please provide your name, contact information, the nature of your request, and enough information for us to identify the relevant account or information.

We may need to verify your identity before responding to a request. We will respond within the time required by applicable law.

14.3 Complaints

If you believe we have not handled your personal information appropriately, please contact us first so that we can investigate and attempt to resolve the matter.

You may also have the right to make a complaint to the privacy regulator responsible for your jurisdiction. In Canada, this may include the Office of the Privacy Commissioner of Canada.

15. Regional Privacy Supplements

This Privacy Policy is intended to apply generally to users of Your Wedding Atlas.

Privacy laws may provide additional rights, obligations, or disclosures depending on where you live, work, or use the Platform. Where required, we may publish regional privacy supplements or notices that provide additional information about how we process personal information in a particular jurisdiction.

If a regional privacy supplement conflicts with this Privacy Policy, the regional privacy supplement will control to the extent of that conflict for users to whom it applies.
