Booking Cancellation and Refund Policy

This Booking Cancellation and Refund Policy explains how cancellations and refunds work for bookings made through Your Wedding Atlas.

It applies to bookings where a Vendor has accepted an enquiry and sent a payment request through Your Wedding Atlas. It forms part of the Terms of Service.

1. Scope

Your Wedding Atlas provides tools that allow Vendors and Couples to manage bookings, payment requests, and cancellations. The Vendor remains responsible for the wedding services and the agreement with the Couple.

This Policy governs how Your Wedding Atlas calculates and facilitates refunds for payments made through the Platform. Nothing in this Policy limits rights that cannot legally be limited under applicable law.

This Policy applies only to payments processed through Your Wedding Atlas. It does not determine refunds of money paid directly between a Vendor and Couple outside the Platform, except where applicable law requires otherwise.

2. Cancellation policy for each booking

Vendors choose one of the cancellation policies available for their listing: Flexible, Standard, or Strict.

When a Vendor sends a payment request, the applicable cancellation policy is saved for that booking. A later change to the Vendor’s listing policy applies only to future payment requests and does not change the policy for an existing booking.

Cancellation timing is determined by the date a cancellation is requested, using the wedding date and service time zone recorded for the booking.

3. Customer cancellations

When a Couple cancels a booking, any unpaid remaining balance is cancelled and will not be collected.

Refunds apply only to amounts that were successfully paid through Your Wedding Atlas. If no payment has been made, there is no refund to process.

Flexible

For bookings with a deposit and remaining balance:

  • At least 91 days before the wedding: the deposit and paid remaining balance are fully refundable.
  • 31 to 90 days before the wedding: the deposit is non-refundable; 75% of the paid remaining balance is refundable.
  • 30 days or fewer before the wedding: the deposit is non-refundable; 50% of the paid remaining balance is refundable.
  • After the wedding date: no refund is available.

For bookings paid in one payment:

  • At least 91 days before the wedding: 100% refundable.
  • 31 to 90 days before the wedding: 75% refundable.
  • 30 days or fewer before the wedding: 50% refundable.
  • After the wedding date: no refund is available.

Standard

For bookings with a deposit and remaining balance:

  • At least 91 days before the wedding: the deposit is non-refundable; the paid remaining balance is fully refundable.
  • 31 to 90 days before the wedding: the deposit is non-refundable; 50% of the paid remaining balance is refundable.
  • 30 days or fewer before the wedding: no refund is available.
  • After the wedding date: no refund is available.

For bookings paid in one payment:

  • At least 91 days before the wedding: 100% refundable.
  • 31 to 90 days before the wedding: 50% refundable.
  • 30 days or fewer before the wedding: no refund is available.
  • After the wedding date: no refund is available.

Strict

For bookings with a deposit and remaining balance:

  • At least 91 days before the wedding: the deposit is non-refundable; 50% of the paid remaining balance is refundable.
  • 90 days or fewer before the wedding: no refund is available.
  • After the wedding date: no refund is available.

For bookings paid in one payment:

  • At least 91 days before the wedding: 50% refundable.
  • 90 days or fewer before the wedding: no refund is available.
  • After the wedding date: no refund is available.

4. Vendor cancellations

If a Vendor cancels a booking after the Couple has made a payment through Your Wedding Atlas, the Couple will receive a full refund of all successful payments made for that booking. Any unpaid balance is cancelled.

Vendors should cancel through the available Platform tools as soon as they know they cannot provide the agreed services.

5. Payment request expiry and missed payments

Initial payment

If an initial payment is not successfully completed by the payment deadline shown in the booking, it becomes overdue. The Vendor may cancel the unpaid pending booking through the available Platform tools, and the Couple may still complete the payment while the booking remains pending.

If the initial payment remains unpaid when the wedding date begins in the service time zone recorded for the booking, the pending booking is cancelled and no payment is collected.

Remaining balance

If a remaining balance is not successfully completed by its due date, it becomes overdue. The remaining balance may still be paid while the booking remains active.

If a remaining balance remains unpaid when the wedding date begins in the service time zone recorded for the booking, the booking is cancelled. Any unpaid amount will not be collected after cancellation. Amounts already successfully paid are not refunded solely because the remaining balance was not paid.

6. How refunds are processed

Where a refund is due under this Policy, Your Wedding Atlas will initiate it through Stripe using the original payment transaction.

A refund may appear as processing before it is completed. The time it takes for a completed refund to appear depends on Stripe, the payment method, and the customer’s bank or payment provider.

A booking is not treated as fully resolved until required refund processing has completed.

7. Payment disputes

Nothing in this Policy limits a person’s rights under applicable law to raise a concern or payment dispute with their bank, card issuer, payment provider, Vendor, or Your Wedding Atlas.

If a payment dispute or chargeback is raised, the payment provider’s process and applicable law will apply. Your Wedding Atlas may provide relevant booking, payment, cancellation, refund, agreement, and communication records to the payment provider where reasonably necessary to respond to the dispute, protect users, prevent fraud, or comply with law.

8. Your Wedding Atlas’s role

Your Wedding Atlas provides standardized cancellation-policy options, records the policy that applies to a booking, calculates the refund outcome under that policy, and facilitates eligible refunds through Stripe.

Your Wedding Atlas does not provide the wedding services, determine whether either party performed a separate agreement, or guarantee the Vendor’s performance. Vendors and Couples remain responsible for their direct service arrangement and any optional agreement between them.

9. Changes to this Policy

We may update this Policy for future bookings. The cancellation policy saved when a payment request is sent continues to apply to that booking unless applicable law requires otherwise.
